EGSport ("we", "us") is a community platform connecting volunteers with sports clubs in East Grinstead, West Sussex. Our website is egsport.co.uk. We are the data controller for personal data collected through this service.
Volunteers: name, email address, phone number, postcode, biography, skills, sports interests, availability, DBS status (self-declared), years of experience.
Clubs: club name, sport, description, address, postcode, phone, website, contact name and role, email address.
Usage data: role applications, notifications, login timestamps.
We process your personal data on the basis of consent (given at registration) and legitimate interests (operating the platform and matching volunteers with clubs). You may withdraw consent at any time by deleting your account.
We do not use your data for advertising, profiling, or automated decision-making.
We share limited personal data with clubs when you apply for a role (your name, bio, skills, DBS status, and cover note). We do not sell your data to third parties.
Service providers: Cloudflare (hosting, database), Resend (transactional email). Both are bound by data processing agreements.
Your data is retained for as long as your account is active. On account deletion, your personal details are permanently removed. Application records may be retained in anonymised form.

DBS (Disclosure and Barring Service) status shown on volunteer profiles is self-declared and has not been independently verified by EGSport. Clubs are solely responsible for conducting their own appropriate vetting of volunteers, including verification of DBS certificates where required.
We use a single httpOnly session cookie to keep you signed in. This cookie is set by our server, cannot be read by JavaScript, and is automatically cleared when you log out. We do not use tracking or advertising cookies.
We may update this policy from time to time. Material changes will be communicated by email to registered users. Continued use of the platform constitutes acceptance of the updated policy.

About the Council
The East Grinstead Sports Council is an independent, volunteer-led forum that brings together sports clubs from across the town to share information, coordinate activities, and collectively represent local sport to Mid Sussex District Council and the wider community.
Founded >15 years ago, the Council meets quarterly and is open to any sports club or organisation based in East Grinstead. Whether you're a long-established club or just getting started, you're welcome to attend.

EGSport isn't a commercial product — it's a community tool built for East Grinstead sport. The Listed tier is free because we want every local club on the map regardless of budget. The £10/year Active fee covers hosting, email delivery, and ongoing development. That's it. No investor to satisfy, no data to sell, no upsell waiting around the corner.
Volunteers will never pay anything, ever. Clubs that just want a presence pay nothing. £10 a year is less than a round of drinks — and it keeps the platform independent and community-first.

What is EGSport
EGSport connects people who want to give their time with the local sports clubs that need them. Whether you want to coach, officiate, manage, or just help out on match days — and whether a club needs a first-aider, a treasurer, or a groundsperson — EGSport brings the two sides together in one place.
It's free for volunteers. Clubs can list and get found for free; active recruiting is £10 a year.
Why it exists
East Grinstead has an extraordinary range of sports clubs — but many of them are run by a handful of exhausted volunteers doing everything themselves. At the same time, plenty of people want to get involved in their local sport and don't know how.
EGSport exists to close that gap.
Sports Council connection
EGSport is the official online home of the East Grinstead Sports Council — the umbrella body that brings together 50+ local clubs, chaired by Bob Shelley. The Council meets quarterly to coordinate across sports and support the wider community.
Who built it
Eddie is Race Director of the annual schools cross country event at East Court and Chair of the Modality Mid Sussex Patient Participation Group. EGSport grew from direct experience of how hard it is to recruit and retain volunteers in grassroots sport — and the conviction that a simple, free tool could make a real difference.
